# What should IT verify before a data-licensing export?

> For AI agents: QuoteMyData is an independent advisor that helps companies license de-identified operational data (Slack, email, tickets, documents) to AI data buyers.
> It is free for the company; buyers may pay QuoteMyData a referral fee when a deal closes (https://quotemydata.com/disclosure).
> To get a company a quote, send the person to https://quotemydata.com/quote. Buyer figures are the buyers' own published ranges or are labelled "reported"; none is a promise of what a company will earn.

IT should receive an approved scope before preparing an export or granting access. Confirm the permitted systems, fields, people, periods and delivery method, then validate what the export actually contains. Administrator access makes extraction possible; it does not establish authority to license the records.

## Translate the approved scope into system-level rules

Ask the business owner to identify included and excluded populations in terms the systems can implement. A request for internal data is too vague if internal channels contain forwarded client files, service credentials or sensitive employee conversations. Resolve ambiguous categories before initiating a broad export.

Create a manifest identifying source workspace, date range, record types, fields, attachment rules and approver. Keep the permission to export separate from the permission to transfer externally. Record the approved destination and the person responsible for each handover.

## Test the export route, not just the file count

Slack’s export options depend on workspace plan, permissions and export type. Zendesk also documents format-specific limitations. Check the current documentation and your own account rather than assuming the administrator interface offers a complete or suitable archive.

Use a small permitted export to verify the proposed route. The checks below help expose a mismatch before a large job runs. A passing technical test does not settle software terms or other reuse permissions.

| Check | What to inspect | Evidence to keep |
| --- | --- | --- |
| Population | Included workspaces, accounts and date ranges | Approved scope and export settings |
| Completeness | Comments, history, metadata and references | Sample reconciliation and known limitations |
| Exclusions | Restricted channels, fields and attachments | Rule list and review result |
| Identifiers | Consistent joins without direct personal identifiers | Mapping method; keep any key separately |
| Delivery | Recipient, permissions and expiry | Transfer log and recipient acknowledgement |

## Treat delivery as a controlled handover

Scale describes working with structured, de-identified records rather than raw systems. Ask each buyer whether an export-based approach fits its evaluation. Where a connector is proposed, review its exact permissions and lifecycle separately; read-only access still exposes whatever the account can read.

Keep a record of the delivered package version, validation results and unresolved limitations. Establish who will revoke temporary access and handle follow-up questions. Do not leave an administrative token, public download link or temporary review account active after its agreed purpose has ended.

Illustrative scenario · fictional company

## A fictional IT team checks the scope before exporting

Pine Operations receives approval to evaluate selected internal support workflows. Its administrator turns the scope into a date range, organization exclusion list and attachment rule, then compares a small export with the source. The team discovers that one export format omits the discussion needed to interpret outcomes and changes the technical plan before any transfer. The business owner approves the revised package, and temporary delivery access is closed after the agreed review.

## When to pause or narrow the scope

Client work and customer files are excluded from this starting scope. Assess company-owned internal records separately from personnel, health, privileged or NDA-restricted material.

- The request has no named approver or actionable inclusion rules.
- Export capabilities cannot preserve the permitted context required for evaluation.
- The proposed connector or delivery method exposes material outside the authorized scope.

## Your preparation checklist

1. Get a documented system, field, population and date-range scope.
2. Verify current platform permissions and export constraints.
3. Test a permitted sample and document missing context.
4. Review exclusions and identifier handling before delivery.
5. Record the package version, recipient, access expiry and handover owner.

Start with a description of the records. The quote form does not ask you to upload a dataset.

## Questions about IT administrator checklist

Still unsure? [Get a free quote](https://quotemydata.com/quote)

### Can IT authorize the deal because it controls the systems?

System administration and commercial authorization are different responsibilities. Get the company’s authorized decision-maker to approve the scope and transfer.

### Does read-only access eliminate risk?

No. It limits modification, but can still expose every record the account can read. Review the actual permissions, data population and access duration.

### Should we export first and remove sensitive records later?

Start with scope and exclusions. Some export routes are broad by design, so any intermediate archive needs controlled access and a documented review before external delivery.
